How to Generate Outreach Reports

Trovn generates branded PDF outreach reports for your leads. These are the deliverables you send to prospects to show them exactly what's wrong with their online presence — and why they need your help.

Two Types of Reports

Opportunity Report For leads that don't have a website yet (or have a very basic one). This report shows:

  • What the business is missing online
  • What competitors in their area are doing
  • How much traffic/revenue they're leaving on the table
  • Your recommended solution

Takeover Report For leads that already have a website. This report shows:

  • A full audit of their current site (speed, SEO, mobile, accessibility)
  • Specific issues found (broken links, missing meta tags, slow load times)
  • How their site compares to competitors
  • What a redesign would improve

How to Generate a Report

  1. Open any lead in GhostHunter
  2. Click Generate Report
  3. Choose Opportunity Report or Takeover Report
  4. Trovn runs the analysis and generates a branded PDF (your agency logo, colors, and contact info)
  5. Download the PDF or copy the shareable link

What's in the Report

Both report types include:

  • Your agency branding — Logo, name, and colors from Settings → Branding
  • Business overview — What the lead does, their location, their market
  • Findings — Data-backed issues and opportunities
  • Recommendations — What you'd do to fix it (ties into your service offering)
  • Call to action — A clear next step (book a call, reply to this email, etc.)

Using Reports in Your Sales Process

Cold outreach: Generate a Takeover Report for a prospect, then email it with a subject line like "I found 12 issues on your website — here's the full report." The report does the selling for you.

Discovery calls: Walk through the report during the call. Screen-share the PDF and go section by section. It positions you as thorough and data-driven.

Proposals: Attach the report to your proposal. It justifies your pricing — "here's what's broken, here's what we'll fix, here's what it costs."

Tips

  • Always generate a report before the first outreach — A personalized report gets 3–5x more replies than a generic pitch email.
  • Use Takeover Reports for businesses with websites — They're more specific and harder to ignore than generic "we can help" emails.
  • Keep reports updated — If a lead doesn't respond for a month, regenerate the report. Sites change, and having fresh data shows you're still paying attention.
