Managing leads in the Pipeline is drag-and-drop. Here's the full workflow.
Adding Leads to the Pipeline
Leads enter the Pipeline from three sources:
- GhostHunter — Click Convert to Pipeline on any zombie lead. The lead moves to the "New Lead" column with all its scan data attached.
- Manual entry — Click Add Lead at the top of the Pipeline board. Enter the business name, contact info, and any notes.
- Facebook leads — If you've imported Facebook leads into GhostHunter, convert them to Pipeline the same way.
Moving Leads Between Stages
Drag and drop — Click and hold a lead card, drag it to the target column, and release. The timestamp updates automatically.
Click to update — Click a lead card to open the detail panel. Use the Stage dropdown to select the new stage.
Adding Notes and Activity
Click a lead card to open the detail panel. Here you can:
- Add a note — Log what happened (e.g. "Called, spoke with owner, interested in redesign")
- Set a follow-up date — Trovn will show a reminder badge when the date arrives
- Add tags — Organize leads by type, source, or priority (e.g. "hot lead," "redesign," "new site")
Tracking Time in Stage
Each lead card shows how many days it's been in the current stage. This helps you spot stale leads:
- 0–3 days — Normal, still fresh
- 4–7 days — Getting stale, follow up soon
- 8+ days — At risk, follow up today or move to Closed Lost
Closing Leads
When a deal closes:
- Won — Drag to "Closed Won." The lead is archived and counted in your conversion metrics.
- Lost — Drag to "Closed Lost." Add a note about why (price, timing, went with competitor). This data helps you improve your pitch over time.
Tips
- Don't skip stages — Moving a lead from "New Lead" directly to "Closed Won" makes your pipeline data inaccurate. Track every stage so you can see where leads drop off.
- Log every interaction — Notes are searchable. When a lead calls back 3 months later, you'll be glad you wrote down what you discussed.
- Use tags to filter — If you run campaigns for different industries, tag leads by industry so you can filter the board and focus on one segment at a time.
