What Is the Pipeline

The Pipeline is a visual board for tracking leads through your agency's sales process — from first contact to closed deal.

How It Works

Every lead in your agency — whether it came from GhostHunter, a manual entry, or a Facebook import — can be placed in the Pipeline. Leads move through stages as you work them:

Default Stages:

  1. New Lead — Just entered the system, no outreach yet
  2. Contacted — You've reached out (email, call, pitch sent)
  3. Meeting Scheduled — Discovery call or demo booked
  4. Proposal Sent — You've sent a quote or proposal
  5. Negotiation — Back and forth on scope/price
  6. Closed Won — Deal signed, they're a client
  7. Closed Lost — They passed or went with someone else

The Board View

The Pipeline shows as a Kanban board — columns for each stage, cards for each lead. Drag and drop leads between columns as they progress.

Each lead card shows:

  • Business name
  • Contact info
  • Source (GhostHunter, manual, Facebook)
  • Days in current stage
  • Any notes or tags

Why It Matters

Without a pipeline, leads fall through cracks. You forget to follow up, lose track of who's where, and can't tell your team what needs attention today. The Pipeline fixes all of that.

Where to Find It

Go to Pipeline from your dashboard. It's a core tool in the left navigation.

Tips

  • Move leads the same day — When you send a pitch, move the lead to "Contacted" immediately. When you book a call, move to "Meeting Scheduled." Real-time updates keep the board accurate.
  • Review weekly — Every Monday, scan the board for leads stuck in one stage too long. If someone's been in "Contacted" for 2 weeks with no reply, it's time to follow up or move to "Closed Lost."
  • Use with GhostHunter — GhostHunter finds the leads. Pipeline tracks them. The two tools work best together.
